1. Who we are
Facioneer Inc. ("Facioneer", "we", "us", or "our") operates a workforce platform that connects dental clinics with verified dental professionals across Canada, beginning in Alberta. This policy explains what personal information we collect through our website (facioneer.com), web application, and mobile app (together, the "Services"), why we collect it, how it is used and shared, and how you can access, correct, or delete it.
Facioneer is a "private organization" under Alberta's Personal Information Protection Act (PIPA), and we collect, use, and disclose personal information in accordance with PIPA and applicable Canadian privacy law.
2. Information we collect
The information we collect depends on how you interact with us.
Waitlist and Founding Clinic applications
If you join our early access waitlist or apply to the Founding Clinic program through our website, we collect the information you provide in that form — typically your name, email address, role, city, and (for clinics) clinic name and number of operatories or chairs — together with any optional notes you add about staffing challenges. We use this to manage the waitlist, evaluate applications, and contact you about Facioneer's launch in your area.
Account and profile information
When you create an account, we collect:
- Basic account details: name, email address, phone number, password (stored as a salted hash, never in plain text), and account role (clinic or dental professional).
- Dental professionals: professional role (e.g. dentist, hygienist, assistant), licence number, issuing regulatory body, licence expiry date, city and province, and travel/availability preferences. We verify licence information with the relevant provincial regulator before approving your profile.
- Clinics: clinic name, address, contact details, and clinic preferences (e.g. typical shift requirements).
- Identity and credential documents: if you upload documents (e.g. licence certificates, void cheques, professional corporation paperwork) for verification or tax purposes, we store those files and a record of their review status.
Shift, scheduling, and work history
To operate the marketplace, we record shift postings, applications, matches, schedules, recurring availability, timesheets, ratings and reviews left by clinics and professionals about each other, and reliability metrics (e.g. completed shifts, late cancellations, no-shows). All shift activity is logged for dispute resolution.
Payment information
Payments are processed by Stripe, a PCI-compliant third-party payment processor. We do not store full payment card numbers on our servers. We retain records of invoices, payouts, refunds, and disputes associated with your account for accounting, tax, and reconciliation purposes.
Tax classification information
Dental professionals choose between two worker classifications (employee, T4, or incorporated professional corporation, T4A). We collect the information needed to issue the correct tax documents and, where applicable, professional corporation details.
Technical and usage information
Like most web and mobile applications, our servers automatically log technical information needed to operate and secure the Services — such as IP address, browser or device type, pages viewed, and timestamps of requests — through standard server and audit logs.
3. How we use your information
We use personal information to:
- Create and manage your account, and verify professional credentials with the relevant regulatory body;
- Operate the shift marketplace — matching clinics with available professionals, processing applications, and managing schedules;
- Process payments, payouts, refunds, and tax documents;
- Communicate with you about your account, shifts, applications, and (for waitlist signups) Facioneer's launch in your area;
- Maintain ratings, reliability scores, and audit logs to resolve disputes between clinics and professionals fairly;
- Detect, investigate, and prevent fraud, abuse, and security incidents;
- Meet our legal, regulatory, and tax obligations.
We do not sell personal information, and we do not share waitlist or application information with third parties for their own marketing purposes.
4. Our legal basis for collecting it
Under PIPA, organizations may collect, use, and disclose personal information without consent only in limited circumstances (for example, where reasonable for an investigation or legal proceeding). For everything else, we rely on your consent. Where you submit a waitlist, Founding Clinic, or signup form, you are asked to confirm a specific consent statement describing what is collected and why before the form can be submitted. For account holders, creating an account and using the Services constitutes consent to the collection, use, and disclosure described in this policy, to the extent reasonably necessary to provide the Services to you.
5. How we share your information
We share personal information only in the following circumstances:
- Between clinics and professionals, as needed for the marketplace to work — for example, a clinic can see the profile, credentials, and ratings of a professional applying to a shift, and a professional can see the clinic's name, address, and shift details once matched.
- Service providers who process data on our behalf, such as Stripe (payments) and our cloud hosting and email-delivery providers, under contractual obligations to protect your information and use it only to provide services to us.
- Professional regulators, where necessary to verify a licence or respond to a regulatory inquiry.
- Legal and safety reasons — where required by law, court order, or to protect the rights, property, or safety of Facioneer, our users, or the public.
- Business transfers — if Facioneer is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to the protections of this policy.
We do not share your information with third parties for their own marketing or advertising purposes.
6. Where your information is stored
Facioneer is an Alberta corporation, and personal information collected through the Services is stored on servers located in Canada. Some service providers (such as Stripe) may process information outside Canada as part of providing their service; in those cases, the provider is contractually required to protect that information to a standard consistent with PIPA.
We use industry-standard security measures to protect your information, including encrypted connections (HTTPS/TLS), encrypted password storage, authentication tokens, and role-based access controls that limit who within Facioneer can view personal information, and only to the extent needed for their role.
7. How long we keep it
We keep personal information for as long as your account is active, plus the period needed afterward to meet our legal, tax, and accounting obligations (for example, the Canada Revenue Agency requires certain payroll and tax records to be kept for six years). Waitlist and application information for people who never create an account is kept only as long as reasonably needed to follow up on the application, or until you ask us to delete it.
8. Your rights and choices
Under PIPA, you have the right to:
- Access the personal information we hold about you;
- Request correction of information you believe is inaccurate or incomplete;
- Request deletion of your personal information, subject to our legal obligation to retain certain records (e.g. tax documents);
- Withdraw consent for non-essential uses, though this may limit our ability to provide the Services to you.
To exercise any of these rights, email privacy@facioneer.ca. We will respond within a reasonable time and at no cost, except where permitted by law.
9. Cookies and similar technologies
Our web application uses strictly necessary cookies and browser storage to keep you signed in and remember your session. We do not currently use third-party advertising or analytics cookies. A dedicated Cookie Policy with full details on each cookie we use will be published before launch.
10. Mobile app permissions
The Facioneer mobile app may request the following device permissions. Each is optional unless noted, and only used for the purpose described:
- Location: to show nearby shifts and clinics, and to help with shift check-in.
- Camera and photo library: to upload a profile photo or scan/upload credential and verification documents.
- Push notifications: to alert you about new shift matches, schedule changes, and messages.
- Biometric authentication (Face ID / fingerprint): used only to unlock the app on your own device; biometric data never leaves your device or reaches Facioneer's servers.
You can change or revoke these permissions at any time in your device settings.
11. Children's privacy
The Services are intended for use by adults working in or operating dental clinics. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at privacy@facioneer.ca and we will delete it.
12. Changes to this policy
We may update this policy from time to time as our Services, legal obligations, or this policy's legal review evolve. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify account holders directly.
